Turn missing evidence into a clear question
An evidence log is useful when it distinguishes what was received, what it covers and what remains unanswered.
Record what you actually have
List the document title, issue date and revision. Record the product or project reference as written, rather than assuming that a familiar name means the same model or configuration.
This is a reading and record-keeping exercise. It does not establish that a product is suitable for a location or application.
Make the next request specific
A useful request names the gap: which model is covered, which revision applies, which conditions need checking, or who is responsible for the next review. Keep the received evidence separate from your interpretation.
For hazardous-area questions, use the applicable project process and current authoritative guidance. The HSE page linked below is a starting point for understanding its hazardous-area classification guidance, not a substitute for a competent project assessment.
Leave an open question open
Mark an unanswered question as unresolved. Carry it into the handover with a responsible next step. Do not turn an incomplete document set into a claim of suitability merely because the project needs an answer.
